How do I apply for a barcode? Four steps to get it done

Confirm the market → Sort out SKUs → Obtain the code range → Assign and verify. Of the four steps, the last one is the most error-prone, and also the easiest to skip.

Executive summary:This article breaks barcode application into four executable steps, explaining the basis for judgment at each step, the materials to prepare, common sticking points, and why the iron rule of "verify before printing" deserves repeated emphasis.
01

Step 1: Confirm the sales market and channel

This step determines which number range to use. The order of judgment is: whether the target channel has explicit requirements for the source of the code → whether you have a usable entity in that market → whether the management cost is acceptable. Domestic sales correspond to the 69 range, Hong Kong corresponds to 489, and other markets are assigned by the local member organization. Don't apply first and then think about where to sell.

02

Step 2: Sort out the SKU list

List all the products to be coded, with the key point being to separate "different specifications of the same product": color, size, capacity, flavor, and pack quantity must each be coded independently as long as they differ. If this step isn't done cleanly, shared-code problems will arise later, and once a shared code enters the inventory system, the cost of fixing it is far higher than separating them clearly from the start.

03

Step 3: Submit the application and obtain the code range

Prepare the documents according to the member organization's current materials checklist (entity qualification documents, contact information, product information, etc.), and after submission the member organization will accept and assign them. What you obtain is a company prefix — a range of numbers that belongs to you, not a fixed image.

04

Step 4: Assign numbers and verify (the most error-prone step)

Within the code range, assign an item reference to each SKU, and calculate the check digit for the last digit using mod10. After assignment is complete, must be verified in batches: if any check digit is calculated incorrectly, printing it on the packaging means a whole batch of goods is scrapped. Only after verification passes should it be handed over for packaging design. At the same time, it is recommended to register the correspondence between numbers and SKUs as a ledger, on which subsequent changes and renewals will rely.

05

Summary of common sticking points

No entity qualification for individuals, specifications not separated clearly, check digits filled in by hand incorrectly, and numbers not matching channel requirements — these four categories account for the vast majority of actual problems. The first two can be eliminated during the preparation stage, while the latter two are eliminated through tools and process discipline.

Key points at a glance

Key conclusions that can be excerpted directly.

Point 01

Determine the market first, then apply for the code

The choice of number range is determined by the sales channel; don't apply first and then think about where to sell.

Point 02

Specifications must be separated

If color, size, capacity, flavor, or pack quantity differ, they must be coded independently.

Point 03

What you get is a code segment

Arrange SKU numbers within the code segment yourself, with no need to apply repeatedly.

Key Point 04

verify before printing

Manually entering the check digit incorrectly will cause the entire batch of packaging to be scrapped—this is the most costly one.

StepsKey ActionsCommon Blockers
① Confirm the market and channelDetermine the source of the number segmentThe channel has additional requirements for the source of the code that were not confirmed in advance
② Sort out the SKU listSplit product items by specificationMultiple specifications sharing one code
③ Submit the applicationPrepare materials and submitIndividuals have no entity qualification; incomplete materials lead to repeated supplementary submissions
④ Arrangement and verificationAssign numbers + batch verificationManual entry error in the check digit; no ledger established

Terminology explanation

The proper nouns involved in this article.

GS1 Company Prefix

The code segment allocated to the enterprise is the basis for arranging SKU numbers.

Product item code

The number portion arranged by the enterprise for each specific SKU.

Batch Validation

An operation to uniformly verify the correctness of the check digits for a batch of numbers.

Coding ledger

A record of the correspondence between SKUs and numbers, used for change and renewal management.

Related Q&A

Can I apply for just one barcode?+
You can start at the smallest tier and later expand within the code segment you have already obtained. The specific tiers and capacities are subject to the member organization's current rules.
How long does the process take?+
Acceptance cycles vary among member organizations, and this site does not provide unconfirmed numbers of days. During processing, progress is synchronized at each milestone.
Can I print packaging immediately after it is done?+
Yes, once the numbers are arranged and verification is complete. However, it is recommended to first do a small-batch proofing and test scan to confirm the print quality meets standards before moving to large-scale production.
Do I have to go through an agent for this?+
It is not mandatory. You can apply directly to the corresponding member organization; the value of an agent lies in selecting the number range, arranging the numbers, checking materials, and managing the continuity of subsequent changes and renewals. Whether to entrust this depends on your time cost.
Can the numbers in the content be used directly?+
The barcodes appearing in the text are all demonstration numbers generated according to GS1 rules. The structure is valid, but they do not belong to any company. Do not use them directly for real products; official codes must be arranged by yourself according to the code segment obtained through registration.
How long until I get a result?+
Acceptance periods vary among member organizations. This site does not provide unconfirmed commitments regarding the number of days. After you submit your request, a coding consultant will update the milestones according to the current acceptance progress.
